Owners can't verify their own account in advance, so every question — “was my April fee recorded?” — arrives by WhatsApp and you answer it, one by one. A single unexplained line erodes trust in all the others. The board approves the budget, and your reputation as administrator rests on accounts everyone can follow.

Security and control of your data

For a board, this isn't a technical footnote. Here's what's true, plainly:

Your data is hosted on Supabase, a managed Postgres database on AWS infrastructure.
Who can see it
Row-level security separates data by company: each owner sees only their own units and accounts.
Backups
The hosting platform runs automatic daily backups.
The data belongs to the client
Your data is yours and can be exported to CSV at any time, including if you decide to leave PropertyFlow.
Privacy
PropertyFlow handles personal data in line with its privacy notice. Formal legal review is in progress.

Billed per building per month, based on the number of units. The first month is free on every building. For buildings of 31 units or more, we prepare a custom quote. A formal proposal is available to present to the board. Prices are billed in US dollars; the peso figure is approximate.

How do we present this to the board?

What happens if we change administrators?

The building's books are never locked to one administrator: the full records can be exported as CSV at any time and handed to whoever takes over the administration.

Can owners see only their own information?

Yes. Row-level security separates data by company: each owner sees only their own units, deposits, expenses, and balance.

Does it work with our accountant?

Yes. You can export income and expenses already categorized by building, in CSV, ready to hand to your accountant.

Do you handle fees in different currencies?

The books and the fees are kept in pesos, the building's real currency. Your PropertyFlow subscription is billed in US dollars, with the approximate peso equivalent shown alongside.

How do we migrate from the Excel we have?

During implementation we set up your buildings, units, and owners with you. There's no new structure to invent and no starting from scratch.

Is there training for the administrator?

Setup is done with you: we configure the accounts and stay alongside you until your first assembly report is ready.

Where is the data stored and who has access?

Data is hosted on Supabase (managed Postgres on AWS), with automatic daily backups. Row-level security limits access: each owner sees only their own.

Do you comply with data-protection law?

PropertyFlow handles personal data in line with its privacy notice. Formal legal review is in progress; we don't claim certifications we don't yet hold.

What happens to our data if we leave PropertyFlow?

It belongs to the condominium. You can export it to CSV whenever you like, including on the way out — nothing is held hostage inside the system.

How is this different from a condo-management app?

Many tools manage the building's operations and communication. PropertyFlow focuses on the accounts: real books and owner-level transparency — the kind that holds up in an assembly.

Does it work if I manage several buildings?

Yes. Each building keeps its own accounts, fees, and owners, and you administer them all from one place, with no building subsidizing another.
